Report writing
The writing part of the test requires the production of a short report (240-250 words). Make sure that your cover all points (usually four) of the task. Consider the “balance’ of your answer. Some parts of the question may require a brief answer, others may need more detail. Before writing a report ask yourself what the purpose of the task is, whom you are writing to and what your role is. Do not use too much language of the task.
Usually, a report has a title, is divided into sections, each section has a heading.
Essentially, a report is a short, sharp, concise document which is written for a particular purpose and audience. It generally sets outs and analyses a situation or problem, often making recommendations for future action. It is a factual paper, and needs to be clear and well-structured.
Reports are written with much analysis. The purpose of report writing is essential to inform the reader about a topic, minus one’s opinion on the topic. It’s simply a portrayal of facts, as it is. In many cases, what’s required is your suggestions for a specific case after a factual report. That depends on why and to whom are you writing the report. Knowing your audience’s motive for asking for that report is very important as it sets the course of the facts focused in your writing.
In academia there is some overlap between reports and essays, and the two words are sometimes used interchangeably, but reports are more likely to be needed for business, scientific and technical subjects, and in the workplace.
Whereas an essay presents arguments and reasoning, a report concentrates on facts.

This report, written by …., position ( e.g. Head of …) , to be submitted to … the …. (e.g. Chief Executive), recommends … (e.g. setting up an internal audit department for … ).
This part introduces the reader to your report, sets the purpose in place and broadly plates out the content of your entire document. To put it differently, the introduction sets out what you plan to say and provides a brief summary of the problem under discussion. It should also touch briefly on your conclusions.
The main body of the report should be carefully structured in a way that leads the reader through the issue. You should split it into sections using numbered sub-headings relating to themes or areas for consideration. For each theme, you should aim to set out clearly and concisely the main issue under discussion and any areas of difficulty or disagreement. All the information that you present should be related back to the task and the precise subject under discussion.
Throughout your report, keep breaking points and starting off a new logical thought with a numbered sub-heading or at least use subheadings and paragraphing.
A conclusion ties up all the information written before, sets out what inferences you draw from the information, including any experimental results if any. It may include recommendations, or these may be included in a separate section.
Recommendations suggest how you think the situation could be improved, and should be specific, achievable and measurable. If your recommendations have financial implications, you should set these out clearly, with estimated costs if possible.
Long reports also include a summary, to be put on the top of the report, which should contain (a) the purpose of the report, (b) what you did (analysis) and what you found (results), and (c) your recommendations. These recommendations should be short and not go beyond a page. BUT this is not our case.
Writing style.
When writing a report, your aim should be to be absolutely clear. Above all, it should be easy to read and understand, even to someone with little knowledge of the subject area. You should therefore aim for crisp, precise text, using plain English, and shorter words rather than longer, with short sentences.
Use formal writing style. Flowery language should not be used. You should also avoid jargon. If you have to use specialist language, you may need to replace some of it with simpler words or explain certain words you use. Some reports include glossaries.
Consider your audience. If the report is designed to be written for a particular person, check whether you should be writing it to ‘you’ or perhaps in the third person to a job role: ‘The Chief Executive may like to consider…’, or ‘The minister is recommended to agree…’, for example.
As with any academic assignment or formal piece of writing, your work will benefit from being read over again and edited ruthlessly for sense and style.
Pay particular attention to whether all the information that you have included is relevant. Also remember to check tenses, which person you have written in, grammar and spelling. It’s also worth one last check against any requirements on structure.

There is not much language for conclusions, though conclusion signals such as ‘In conclusion’ are useful.

The formal and impersonal nature of reports can be achieved by avoiding certain types of language such as slang terms and contractions (didn’t, won’t etc) as well as strong expressions of opinion and attitude. Scientific and technical reports often include passive forms instead of subject pronouns like “I” and “you”, but for business reports you can write more simply and directly.

There are frequent errors in word choice, some poor control of basic grammatical structures and repeated spelling errors. The range of structures is limited and at times repetitive. The tone of the report is often too informal and the ending is inappropriate.

On your previous request I am writing the summary report on the new aircraft purchase.
First of all, I would like to mention that your financial situation is considerable better than 6 months ago. All financial indicators (margins, assets, cash flow, return on capital employed, liabilities etc.) appear to be at standard level.
I can’t see any issues to bring one more aircraft in your assets. We should get a loan covering 50% of value within 3 months. Then we will capitalise it as standard item. Secondly we have to assume all risks on this decision.
However your finance situation is good the competitors becoming stronger. You must be sure your aircraft is fully used and bring money immediately.
I suggest to prepare a feasibility study just to make sure. You already know there will be a new policy about stricter technical controlls next year. And this will definitely bring additional costs. We have to assume the oil prices as well which are projected to be higher next year. According my calculation both these factors will increase the current costs by 11%.
Thirdly, I just recommend the next steps you should work on. Please, provide any relevant information that can assict your decision in buying new aircraft. Of course do not forget to make proper analysis – competitors, SWOT etc. These all will be a part for a loan request.
To sum up I can’t see any difficulties from your financial position and if all non-financial aspects are considered then you can expand your business without worries.

The answer is suitably paragraphed but the use and control of cohesive devices is not always correct and confuses the reader at times.
